Meeting Minutes – September, 2025

*Meeting called to order on 9/2/25, 7:09pm by Spencer, following tent and booth set up/clean up at the Osceola fairgrounds.

Secretary’s report: 

Treasurer’s report:

  • Fair set up and start up expenses
  • Starting to get fun run sponsors income
  • Memberships continue to come in.  Reminder that membership goes up to $30/family on 11/1/25, early payments now are $20/family.
  • Checking and rainy-day accounts remain healthy 
  • October is budget approval month.  Frank will prepare but is gone during October so proposed budget will be mailed out to the BOD for voting.

Old Business:

  • Club 2025-26 meeting cards were ordered and printed and will be ready for the fair booth.  Thanks Rhett and Sara.
  • Scott Carlson volunteered to be OVSG representative to the Polk County Snowmobile and ATV Council with Jim Berg.  Doug Volunteered to be Trail Boss Boss along with help from Karter McNutt and Nick Carlson assisting with SNARS and the Land Owner file.

New Business:

  • Motion to create an appreciation plaque and banner for the McNutts approved Frank/Myron.  Frank will order both and plan is to present at 12/6 Club appreciation gathering at Eric’s.
  • Duane W expressed his Thanks to the club for his plaque celebrating his many years of training and club support. 
  • AWSC Fall workshop is the last weekend in October 10/24-26 in Stevens Point.  If you are interested in attending contact Frank.

Council Report:

  • County map ads are due 9/11.   Our Club is putting a package together for sponsors that includes map ad and fun run support.
  • Polk County Snowmobile and ATV Council has been approved as a 501C3.
  • New Centuria Building plan to be discussed and Nov Council meeting.
  • November is Polk County Council guest meeting.  Anyone can attend.
  • Next meeting is Sept 11.

KAOS Youth Club:

  • Next meeting is next week.  9/9

Committee Reports: 

Fair Revenue Committee:

  • Chair:  Cyndi Sommerfeldt
  • Updates:
    • Sign up sheet still has open spots.  Please volunteer for a booth time slot.
    • Tent and new lights were put up prior to meeting.  All went well and Thanks for all the great help.
    • Weather looks to be cool but relatively dry.  Final sales and income will be reported at the October meeting.

Fun Run Revenue Committee:

  • Chair:  Laurel Feldt
  • Updates:
    • Planning has begun. Set for February 21st 2026. Thanks to our new committee members!
    • The committee is working with the map ad sales volunteers Duane/Doug K to present a sponsorship package for our sponsors.  This should clarify our various advertising/support requests and provide for a 1 time/1 person request for support.
    • The fun run will start February 1 and run through February 21.
    • There will be more ‘stops’ to include more stops in Osceola.
    • Ken’s Keyboard will be our gold sponsor and final location on 2/21.

Landowner Appreciation Committee:

  • Chair:  Donna Berg
  • Updates:

Scholarship / Donation Committee:

  • Chair:  Angel Olson
  • Updates:
    • Busch Lite Challenge is 2/21/26

Social Committee:

  • Chair:  Spencer Feldt / Eric Hallen
  • Updates:
    • Membership appreciation to be held 12/6 starting at 3pm at Eric’s.  This will include the McNutt appreciation event.  Kaos club will be included in this appreciation due to the McNutts many years of service to this club as well.

Social Media Committee:

  • Chair:  Eric Hallen / Frank Sommerfeldt
  • Updates:
    • Our on line membership form and all related links for payments provider is no longer providing this service.  Frank will be looking into other options including working with Angel to replicate the ATV Club form/supplier.  This may require some cost.  

Trail Committee:

  • Chair:  Doug Kromrey 
  • Updates:
    • Trail from Dresser north to Interstate Park has some issues.  Doug will contact Arik M and will find a solution.
    • Duane W reported that we are again having issues with beaver dams in the pond behind Polaris.  Duane to work on resolving this.
    • Reminder that the Council has a written trail opening procedure which involves the local clubs verifying that gates are open and trails are clear so that the groomers can go through prior to opening. 
    • Rye is off the field so the shelter could be accessed now if desired. Talk to Board Member to notify the land owner. The fire pit at our shelter needs maintenance.  We need someone to lead this effort.

Finance Committee:

  • Chair:  Frank Sommerfeldt
  • Updates:
    • October is budget approval by the BOD.  Frank to send out info to BOD.

Next Meeting: October 7th, 2025 at Kens Keyboard in East Farmington at 7:00pm.
