Meeting Minutes – August, 2025

*Meeting called to order on 8/5/25, 7:05pm at The Star Prairie Sports Bar by Spencer.

Secretary’s report:  

• All past month’s meeting minutes are posted on our club webpage (www.osceolavalleysnogoers.com).  They stand approved.

Treasurer’s report: 

• Last large expenses were $500 to Kaos Club and the Land Owner Appreciation
• Checking and rainy-day accounts remain healthy  

Old Business:

• $500 was donated to the Kaos Club to send members to the State level KAOS conferences
• OVSG member fee plan to remain until next May. (AWSC will increase their membership fees from $12 to $17/year.  The Polk County Council recommended clubs to adopt a 2-tier fee structure.  The BOD recommends to change our membership fees per the Council’s recommendation.  The recommendation is to have an early bird membership fee at $20 (same as previous years), increasing to $30 on November 1.  We will evaluate the new fee structure in 1 year and will decide if we need to change our fees.  The majority of the membership voted to adopt the proposed fee structure with 5 members opposing the proposal.)
• Frank submitted the AWSC survey on non-trail volunteer hours.

New Business: 

• Rhett will be handling the meeting cards from the Staple. 200 cards formatted similar to the 2023-2024 cards.
• Scott Carlson volunteered to be OVSG representative to the Polk County Snowmobile and ATV Council with Jim Berg. No other volunteers. Council is comprised of two representatives from every club, Polk County Parks Dept Rep, Polk Co Sheriff Dept Rec Officer, and the Council officers.
• Doug Volunteered to be Trail Boss Boss along with help from Karter McNutt and Nick Carlson assisting with SNARS and the Land Owner file.
• Sign orders need to be in to the county by August 14th. Discussion was had questioning if our trails have the proper “gas” signs.
• Club will be putting something together for Kevin for his years of service for the club. Possibly a banner signed by OVSG and Kaos. As well as a plaque. 

Council Report:

• The land for the new council facility has been secured. Committee chairman Bob resigned. Centuria will have first right to the facility if the council were to leave or be dissolved.
• Hail damage repairs were completed on the current buildings. There was a coating sprayed on the roofs.
• Next meeting is August 14th

KAOS Youth Club: 

• No fall meeting yet.

Committee Reports:  

Fair Revenue Committee:

• Chair:  Cyndi Sommerfeldt
• Updates:
  • Sign up sheet was passed out.
  • Nate will be placing the meat order using 2023 and 2024 data.
  • New propane grill was purchased last year with budgeted funds.
  • Rod and Gun Club will be letting us use their refer truck again as well as free ice. Mutual agreement for use no longer needing a $250 fee from R&G
  • Motion by Scott Carlson and second by Don Stark to have Frank buy new lights for the tent.
  • The tarp for the tent is getting aged and may need to be replaced soon.
  • Rhett and Kirk to donate propane tanks.
  • Cyndi is looking for recommendations for grill cleaning tools.
  • Arrive early to the Sept 2nd meeting to set up for the fair. Around 5pm or so.

Fun Run Revenue Committee:

• Chair:  Laurel Feldt
• Updates:
  • Planning has begun. Set for February 21st 2026. The committee will be meeting to discuss details on this years event.
  • The fun run will start February 1 and run through February 21.
  • There will be more ‘stops’ to include more stops in Osceola.
  • More help will be needed on the 21st.

Landowner Appreciation Committee:

• Chair:  Donna Berg
• Updates:
  • The club received a thank you from Merlin and Marcella Schmidt. They were not able to make it.

Scholarship / Donation Committee:

• Chair:  Angel Olson
• Updates:
  • Emails received from the recipients thanking the club.

Social Committee:

• Chair:  Spencer Feldt / Eric Hallen
• Updates:
  • Fall member appreciation being planned. Signing the banner for Kevin planned to be at this event.
  • Tentatively planning for a member appreciation event on Dec 6

Social Media Committee:

• Chair:  Eric Hallen / Frank Sommerfeldt
• Updates:
  • The website has been updated.

Trail Committee:

• Chair:  Doug Kromrey  
• Updates:
  • Doug is the new Trail Boss Boss with Karter and Nick assisting.
  • Needing a re-route on Trail 30.  The route on Old Church Rd is not safe.  Looking to go either through the old dump area or north of Old Church Rd.  Scott/Trevor/Frank are looking into what will work best
  • Rye is off the field so the shelter could be accessed now if desired. Talk to Board Member to notify the land owner. The fire pit at our shelter needs maintenance.  We need someone to lead this effort.

Finance Committee:

• Chair:  Frank Sommerfeldt
• Updates:
  • Jim Berg is our back-up treasurer.  Frank will send him log-in information to both our checking and rainy-day account.
  • There are 15+ other accounts used by the club.  Frank has all the info.  Cyndi can get to the info on his phone if needed.

Next Meeting: September 2nd, 2025 at The Osceola Fair Grounds in Osceola at 7:00pm. Please arrive early to help set up for the fair. Plan is to start around 5pm.

New meeting cards will be made using the same schedule as last year
