Minutes – Oct 2023

*Meeting called to order on 10/3/23, 7:00pm at UW Wanderoos by Kevin McNutt due to Spencer being gone.

Secretary’s report:  

  • September and all past month meeting minutes are posted on webpage.  Approved.

Treasurer’s report

  • Budget meeting held just before regular meeting.  Board of Directors and officers attended.
  • Donation from ONEOK.
  • Membership payment to AWSC.
  • Fair report.
    • Record revenue and income.
    • Barb Durand’s last year of coordinating the fair.  Motion, 2nd, and approval for the club to get her an appreciation plaque for all her years of doing it.  Frank to get the plaquie.
    • Discussion on prices for items sold at the fair.  Frank had a good summary of quantities, revenues, margins, etc for everything sold.  Turkey legs were the least profitable margins even after raising the prices this year and we sold out quickly.  
    • Discussion on the Square electronic payment device that was purchased.  Was it needed & worthwhile?  Revenue and tips this year amounted to about half of the purchase price.  Not everyone carries cash anymore.
    • Discussion on expenditures and amounts that require approval by others.  Try to improve at getting stuff into meeting minutes for better communication and awareness.
      • Motion made by Julie, seconded by Kirk to set limits as follows for approvals:
        • <$100 requires President’s approval.
        • <$300 requires approval from Board of Directors
        • >$300 requires approval from the club.
      • Motion passed.  
      • Kevin to type up proposal for updating bylaws that can be reviewed at next club meeting.

Media/Marketing:  

  • Mark Jessen is working on a new logo and apparel.  Trying to set up an on-line process like the ATV/UTV club has been doing.  An email to be sent to the club when ready.

Council Report:

  • Brad McGuiggan is looking to hand off the Council Rep duties.  Chris Keezer and Jim Berg volunteered to take it on.  Jim to attend going forward.
  • Trail maps being done this year.  Some businesses didn’t respond this year for sponsorship adds on the map.  May want to consider meeting location changes in the future if businesses choose not to sponsor the maps.
  • Stower Seven Lakes Trail.
    • Polk County Board of Supervisors appeal in process.  Horses were recently allowed back on the trail.  Hearing set for Oct 4 to review snowmobiles.  Hearings now in St. Croix County for appeal.  Hearings available to watch on-line.
    • There might be a county resolution drafted that would get voted on in the future if necessary.  If the trail can’t be open to the previously approved uses, then it could get closed to all uses.
  • Horse Creek Bridge.  Footings exposed, not good.  Council members reviewed it.  This will get more discussion at the next council meeting to decide what to do.

Trail Bosses Report:  

  • Kevin.  One new landowner agreement already in hand.  Minor adjustment and clearing a few trees will be done in late October.  A second landowner is selling property, so TBD on changes there.  Reached out to Trollhaugen for clarification of trails running on their property.
  • Rick.  Reroute by East Farmington.  F&A Dairy sold land, so working on new agreements.
  • Frank.  Trail 30.  Extra signs needed for new trail.  Assembling all the signs to posts Sunday (Oct 8) at Frank’s shop.  Signing & clearing trail on October 28.  Skid steer reserved from the county for that week.  Ordered 40 new landowner signs.  
  • Two new post pounders will be cut to fit over signs.

KAOS Youth Club: 

  • Elected new officers at September meeting.  Three young ladies taking on President, Vice President, and Secretary roles.
  • Next meeting is next Tuesday, 10/10 at 7:00 at McKenzie Lanes in Centuria.
  • Youth snowmobile safety class will be October 16, 17, & 19 (Mon, Tues, Thurs) at the Osceola Intermediate School.  Class times are 6:00-9:00 each night.  Register at the first class.  The club will pay for the class registration fee ($10) for each student.

Old Business:

  • Fair

New Business: 

  • Budget meeting held prior to regular club meeting.
    • Landowner appreciation.  Expecting to have ~32 more landowners this year with the new Trail 30.  More people expected at the appreciation brunch.
    • Overall budget was reviewed and recommended for approval by the club.
  • Applied for 501c3 status.  
  • UW Wanderoos Hunter’s Party revenue is not going to snowmobile and ATV clubs this year.  Instead it is going to another worthy cause.
    • Due to this being in budget as a sizeable portion of the expected income, a motion, 2nd, and approval was made to table the budget discussions until November meeting.  The Board of Directors should meet again to update the budget with new information and bring it back to the club for review & approval.
  • Wood for the warming shelter.  Dennis Neuman has wood he’d let the club have.  Would need to cut, split, and haul it to the shelter.  Plan for Saturday, October 21 at 9:00am.  Details to be sent to club members in an email.

Trip Committee: 

  • Planning for same as past 2 years Round Lake, Hayward, WI area.  January 18-21, 2024.  Rooms are blocked.  Prices are $69 for Thursday night and $99 for Friday & Saturday nights.  Call Mandi at 715-415-7797 to reserve a room.

Social Committee:

  • Planning for club party at Eric’s first weekend in December.  More details to come.

Next Meeting: November 7, 2023 at Potsie’s Place in East Farmington at 7:00pm.
